It does not need every personal detail the customer is willing to send. Define the purpose of each field and review attachments as well as typed notes.
Connect each field to a task
An order reference helps target the correct purchase. A contact method helps the team reply. An app version can explain a player-specific screen. A passport scan, full card image or unrelated address history is not ordinary diagnostic context. If an exceptional process requires more evidence, explain and protect that actual process rather than making it routine intake.
Use references instead of repeated files
Keep sensitive purchase evidence in an appropriately restricted location and put its reference in the case. A first-line agent may need the confirmed payment state without the full transaction image. Do not copy credentials or recovery codes into searchable ticket titles, tags or general team notes.
Review opinions and inferred causes
A note such as “customer is careless” does not help a technical handover. Record observable facts and the relevant uncertainty: which screen appeared, what instruction was followed and what response is pending. Keep a hypothesis labelled as a hypothesis instead of turning it into an account fact.
| Useful record | Less useful substitute |
|---|---|
| Exact error with context | A personal judgment |
| Order reference | A full unrelated statement |
| Confirmed action status | An agent’s guess |
| Restricted evidence link | Repeated attachment copies |
Set a real retention approach
Review when the case information is no longer needed for its purpose and handle it under the organisation’s applicable obligations. ICO guidance offers a reference principle of adequate, relevant and necessary data; this article does not claim compliance with a particular jurisdiction. Do not promise deletion from backups or third-party systems without knowing the actual process.
Questions about this guide
Does a closed case mean every record should immediately disappear?
Not necessarily. The organisation may still need relevant purchase or case evidence for legitimate obligations and unresolved questions. Define the actual retention needs and access controls rather than applying an invented universal period. Remove unnecessary material without discarding records that still serve a documented purpose.
