Preserve the source quoteAdd actual payment detailsLabel estimates as estimatesReconcile a difference with the right partyWhen a quote is in USD and your payment account uses another currency, two amounts can be relevant. One describes the seller’s quote; the other describes the actual payment-provider result. Record both with their currencies rather than treating a bare number as interchangeable.
Preserve the source quote
For example, Dream’s published six-month service total is USD 38.99 for the full selected term. Keep that amount and term in the order record. Do not convert it into a guaranteed local-currency price unless the seller explicitly gives and confirms that local-currency quote.
Add actual payment details
When available, record the amount actually charged, its currency, the payment reference and any separately identified fee. Ask the payment provider to explain its conversion or fee if unclear. Do not assume that a public exchange-rate estimate must equal the transaction result.
| Field | Example role |
|---|---|
| Seller quote | USD 38.99 for the selected six-month term |
| Payment amount | Actual named currency and amount |
| Conversion/fee | Actual payment-provider description |
| Source date | When each value was quoted or recorded |
Label estimates as estimates
If you make a planning estimate before payment, preserve the exchange-rate source and time used. Keep it out of the actual-charge field. A later change in the estimate is not necessarily a change in the published USD service total. Avoid comparing two unnamed numbers and concluding that the seller altered the price.
Reconcile a difference with the right party
Ask the seller about the order description and the payment provider about its actual transaction details. Keep the replies together under the order reference. This guide offers record structure and arithmetic clarity; it does not recommend a payment method, predict exchange rates or provide financial advice.
Questions about this guide
Can I publish today’s converted estimate as Dream’s local price?
Do not present your own estimate as the seller’s confirmed price. Use a clearly labelled calculation with its rate source and time, or obtain the actual local-currency quote. The published USD amount and any payment-provider conversion remain separate facts.
