Choose where account passwords live

Reduce scattered secret copies while keeping authorised account access practical.

A household account can accumulate passwords in notes, screenshots, old chats and spreadsheets. Decide where credentials should be kept, then use a separate non-secret account summary for renewal and support. The summary should identify the purchase and point to the protected location rather than repeat the values.

Use the tool’s actual protections

NIST’s consumer guidance recommends password managers for generating and storing unique passwords. If you use one, protect the manager itself with a strong sign-in method and additional authentication where available. Check the tool’s sharing and recovery instructions before relying on it for a household handover. A renamed plain-text note does not gain the same protection as a password manager.

Separate records by purpose

The purchase record needs the service name, order reference, selected term and confirmed account dates. It rarely needs a visible password. The credential store needs the correct account connection details and enough context to avoid filling them into the wrong service. Keep software-purchase and store-account identities distinct from service credentials.

Reduce duplicate secret stores

Choose which current copy is authoritative. Correct an outdated entry from the private original, then remove unnecessary screenshots and duplicated notes you control. Do not delete the only retrievable copy before checking the provider’s legitimate recovery route. A cleanup should make retrieval reliable as well as reduce exposure.

  1. Identify the current account and protected original.
  2. Choose the intended credential store.
  3. Check authorised retrieval and recovery.
  4. Retire redundant secret copies after verifying the current record.

Avoid an automatic rotation calendar

Change a password when there is a relevant security reason or a provider requirement, rather than repeatedly editing it to make the record look maintained. NIST’s current verifier guidance rejects arbitrary periodic password changes absent compromise evidence. A service-issued credential may require provider action; do not assume the player can change it independently.

Questions about this guide

Should everyone in the household know the password-manager login?

Use the password manager’s documented authorised sharing options where appropriate. Sharing the vault’s main login may expose unrelated accounts and complicate recovery. Give each helper only the access needed for the task, while separately confirming any service sharing or ownership conditions with the provider.
