Define the destination taskInspect fields and attachmentsKeep identity links only where neededTrack working copiesA ticket export can contain customer contacts, attachments, internal notes and account material accumulated over time. Decide why the export is needed and who will receive it. Moving a whole history can create a much larger disclosure than sharing one case summary.
Define the destination task
An internal trend review may need categories and counts rather than names or full transcripts. A specific escalation may need a narrow event sequence and evidence reference. A system migration may require a documented field map and protected transfer. Do not use one broad export for every purpose.
Inspect fields and attachments
Review passwords, complete connection links, recovery codes, financial images, personal judgments and unrelated identifiers. A text-field review alone can miss secrets in attached screenshots and logs. Use the actual tool’s export controls and check the resulting file before distribution.
| Export purpose | Potentially sufficient content |
|---|---|
| Trend review | Defined categories and aggregate counts |
| Case escalation | Relevant case evidence and timeline |
| Knowledge example | Clearly fictional or appropriately sanitised scenario |
| Migration | Necessary mapped fields under controlled access |
Keep identity links only where needed
If a task requires reconnecting a record to a customer, protect the mapping separately and limit access appropriately. Do not call a dataset anonymous merely because one name column was removed. Other fields or attachments may still identify a person or provide account access.
Track working copies
Record the authorised recipient or destination and review temporary copies after the task. Follow actual retention and legal needs rather than inventing a universal deletion period. If an export containing secrets reaches the wrong audience, use the relevant account-containment process as well as file cleanup.
Questions about this guide
Is removing names enough to make a ticket export safe for public use?
No. Order references, contact details, device notes, free text and attachments may still identify customers or expose access material. Use a deliberately fictional example for public instruction where possible, and review every relevant field and file.
