A balance screen can show an account quantity at a moment. Neither necessarily explains the full relationship between a particular payment and a particular credit application. Reconciliation connects them.
This matters when a team receives a payment image and marks a recharge complete before checking the account result.
Read each record for its actual claim
A supplier receipt should identify the order and what was sold. A bank or payment-provider record describes the money movement under that provider’s own state labels. A balance observation describes a quantity at a recorded time. Keep those distinctions visible. Do not rename a pending payment as received by the seller or a requested recharge as applied because the files arrived in the same conversation.
Use a published-package example
For the published 300-credit package, the price arithmetic is 300 multiplied by USD 1.39, total USD 417.00. A recharge request should identify that quantity and total. The next evidence should connect the seller’s confirmation to the intended account and resulting quantity. The published price establishes the purchase amount; it does not establish an instant application time or a particular transaction interface.
Preserve the opening snapshot
A prior confirmed balance with its time can help explain the resulting movement. If other actions occurred during the same period, include their confirmed references. Comparing two screenshots without considering intervening deductions can create a false discrepancy. A movement ledger makes the relationship clearer than an unexplained final balance.
Keep privacy in the evidence chain
Use the relevant transaction reference and amount rather than a full statement containing unrelated activity. Keep credentials and complete connection links out of the case. If a colleague only needs to know that the payment was confirmed, provide that state and a restricted evidence reference. More copies of the original image do not make the arithmetic stronger.
Close the exact uncertainty
When the provider confirms the applied quantity, add the reference and resulting state to the recharge record. If an adjustment or correction is needed, preserve the explanation and follow the seller’s actual process. Do not invent a reversal guarantee. A completed reconciliation should let another authorised person answer what was ordered, paid and applied without guessing which image proves which event.
Use one recharge reference in the internal summary to connect the separate evidence. A colleague should be able to see which payment and balance observation are being compared without opening every image. Keep any unresolved association marked as such. Repeated package amounts make amount-only matching especially weak when several recharges were discussed during the same period.
Questions about this guide
Can two matching amounts prove that records belong together?
They can be a clue, but repeated package amounts may appear in several orders. Use the actual order, account and transaction references. Matching totals alone can accidentally connect one payment to another customer’s recharge or conceal a duplicate request.
